1. Overview & Commitment
Krowdwave ("we", "our", or "us") operates collection portals, digital receipt engines, and financial record infrastructure for tertiary institutions across Nigeria. We understand that student records, matriculation identities, and departmental financial ledgers require rigorous confidentiality.
This Privacy Policy explains what personal and academic information we collect, why we need it to verify your campus payments, and how we protect your rights under Nigerian data protection laws.
2. Information We Collect
To accurately tie every dues payment to the correct student and academic session, we collect:
Full name, Matriculation or JAMB Registration Number, institutional or personal email, phone number, institution name, faculty, department, and academic level (e.g., 100L, 200L, Final Year).
Payment transaction references, timestamp, amount paid, item or levy category (e.g., SUG Dues, Departmental Levy, Excursion Fee, Banquet Ticket), and cryptographic verification hash on your receipt.
Executive appointment documentation, executive role (President, Financial Secretary, Treasurer, Course Rep), and authorized association bank account details for settlement routing.
3. How We Use Student & Exco Data
- Generating Digital QR Receipts: Creating an instant, tamper-proof proof of payment that can be shown to faculty clearance officers, department secretariats, and exam hall invigilators.
- Live Payer Rosters: Permitting course reps and association treasurers to see which matriculation numbers have paid their dues without manual teller tracing.
- Automated Reconciliation: Matching bank debits to unpaid student invoices when interbank networks delay webhook confirmations.
- Audit Continuity: Preserving financial records for incoming student executive administrations, departmental staff advisers, and university bursaries.
4. Payment Security & Card Protection
We Never Store Your Card Details or Bank PINs
When you pay your dues using debit card, USSD, or direct bank transfer, your transaction is processed directly through our licensed payment providers. Krowdwave’s servers never receive, process, or store your 16-digit debit card number, card CVV, or banking PIN.
5. Departmental Isolation & Role-Based Access
Krowdwave operates strict multi-tenant boundary isolation across every campus association.
- An association executive (e.g. Department of Economics, Faculty of Engineering, Law Students' Society, NACOS, or SUG) can only view dues and payment records belonging strictly to their own registered association or department. They cannot view, export, or access student records from any other department, faculty, or association.
- Course reps can only view paid vs. pending status for their specific course set.
- Superadmin platform audits are restricted, role-authenticated, and logged for accountability.
6. Retention & Handover Archives
Unlike informal WhatsApp groups or paper cashbooks that get misplaced when an exco graduates, Krowdwave maintains permanent ledger records.
We retain payment transactions and digital clearance receipts throughout your university tenure and beyond, ensuring that when you return for final degree clearance, NYSC mobilization, or transcript requests, your dues clearance can be verified instantly without disputing old physical paper receipts.
8. Your Rights as a Student / User
In accordance with Nigerian data protection principles, you possess the right to:
Right to Access
View all past dues, levy receipts, and clearance statuses associated with your matriculation number.
Right to Rectification
Request corrections if your name, email, or matriculation number was misspelled during payment.
Right to Export
Download digital PDF copies of all your QR receipts anytime for offline printing.
Right to Inquire
Raise inquiries or dispute fraudulent levy collections with our compliance desk.
